Position Summary:
Under the direction of the Senior Office Coordinator, the incumbent provides administrative and operational support to the Centre for Research on Children and Families (CRCF), in the Faculty of Arts, including the coordination of communications, organization of events, records, information systems, and technology resources to support the Centre's activities and operations.

Major Duties and Responsibilities:
.

  • Maintain and regularly update the CRCF website and Facebook page, ensuring content is accurate, current, and aligned with CRCF activities and communications objectives
  • Coordinate the administrative and logistical aspects of CRCF events, including symposiums, conferences, seminars, and meetings; arrange travel accommodations for participants and stakeholders; and process related expense reimbursements in accordance with University policies and procedures.
  • Coordinate the organization, maintenance, and consolidation of CRCF's digital filing systems, including SharePoint, OneDrive, and shared network drives, to ensure effective information management, accessibility, and operational efficiency.
  • Serve as a resource person for software applications, shared network spaces, electronic records management, user permissions, and related systems and processes.
  • Administer the CRCF Listserv and membership records, including maintaining distribution lists, updating member information, distributing communications and documentation, and tracking membership-related data.
  • Gather information and provide administrative support for the preparation of annual reports and other Centre publications.
    Coordinate the Centre's calendar, room bookings, research seminars, board meetings, and Annual General Meeting (AGM), ensuring effective scheduling, resource allocation, and logistical support.
  • Liaise with technical support personnel to coordinate technology resources, workspace requirements, and the resolution of hardware and software issues.
  • Coordinate the procurement, deployment, and inventory management of computer equipment and technology resources, including loaner laptops and related hardware.
  • Coordinate physical space allocation and facilities-related requirements to support the effective operation of the Centre.

    Other Qualifying Skills and/or Abilities:
    Strong organizational, prioritization, and time management skills, with the ability to manage multiple deadlines and competing priorities. Excellent written, verbal, and interpersonal communication skills, with a strong client-service orientation. Experience coordinating meetings, events, travel arrangements, and administrative logistics. Proficiency with Microsoft Office Suite, SharePoint, OneDrive, and electronic records management systems. Experience maintaining websites, mailing lists, records, and stakeholder communications. Strong attention to detail and ability to maintain accurate documentation, memberships, and reports. Ability to provide administrative and technical support related to software, systems, and technology resources. Familiarity with Workday and experience processing expense reimbursements is an asset. Ability to work independently and collaboratively while exercising sound judgment and initiative.
