Payroll & Benefits Administrator

Reports to: Sr. HR Generalist
FLSA Status: Non-Exempt
Department: Human Resources
Location: Phoenix, AZ
Pay Range: $60,000–$65,000 (DOE)


Position Summary

We’re hiring a Payroll & Benefits Administrator to help own the processes that keep our employees paid accurately and benefits running smoothly. This position is responsible for multi-state payroll processing, benefits administration, payroll taxes, garnishments, reporting, reconciliations, and year-end compliance.

This role will also work directly with benefit brokers and vendors, assist with renewals and open enrollment, reconcile benefit billing, and support ACA reporting and compliance.

Previous iSolved payroll experience is required.

Responsibilities

  • Process multi-state payroll for approximately 800+ employees accurately and on time.
  • Administer employee benefits, including medical, dental, vision, life, disability, and other company-sponsored benefit programs.
  • Serve as a primary point of contact for employee payroll and benefits questions.
  • Partner directly with benefit brokers and vendors, including participating in broker meetings, renewals, plan discussions, and implementation activities.
  • Manage benefit enrollments, terminations, qualifying life events, and open enrollment.
  • Review and reconcile monthly benefit invoices and research enrollment or billing discrepancies.
  • Process new hires, terminations, compensation changes, deductions, benefit deductions, and other payroll changes.
  • Administer employee garnishments, levies, child support orders, and other required payroll deductions.
  • Review and manage federal, state, and local payroll tax setup and withholding across multiple states.
  • Complete regular payroll tax audits and research discrepancies.
  • Support quarterly and year-end payroll processes, including W-2 review and reconciliation.
  • Support and administer ACA compliance and year-end reporting, including Forms 1094-C and 1095-C.
  • Prepare and maintain payroll, benefits, tax, and compliance reports for HR and leadership.
  • Reconcile payroll and benefit data to ensure accuracy between systems, invoices, and payroll deductions.
  • Maintain accurate payroll and benefits records and support internal and external audits.
  • Identify payroll and benefits trends, errors, and opportunities for process improvement.
  • Manage monthly wellness initiatives designed to improve benefit engagement and participation.
  • Maintain confidentiality of employee payroll, benefits, and personal information.

What Success Looks Like – Metrics

  • Accurate and timely multi-state payroll processing with minimal corrections or off-cycle payments.
  • Strong understanding and application of federal and multi-state payroll requirements.
  • Accurate benefit deductions, billing, enrollment, and reconciliation.
  • Timely and accurate payroll tax, ACA, W-2, and year-end reporting.
  • Timely processing and administration of garnishments.
  • Reduction in recurring payroll and benefits errors through improved processes and controls.
  • Increased employee understanding and participation in company benefit programs.
  • Accurate and audit-ready payroll and benefits records.

Supervisory Responsibilities

None.

Qualifications

  • Must be at least 21 years of age.
  • Previous hands-on iSolved payroll experience is required.
  • Previous experience processing payroll in a multi-state environment required.
  • Experience administering employee benefit programs required.
  • Experience with payroll taxes, garnishments, benefit billing and reconciliation, and year-end payroll processes.
  • Experience with ACA reporting and compliance strongly preferred.
  • Experience working directly with benefit brokers, carriers, and third-party vendors.
  • Strong Excel/reporting skills and ability to analyze payroll and benefits data.
  • Strong attention to detail and ability to meet strict payroll and compliance deadlines.
  • Ability to handle confidential employee and payroll information appropriately.
  • Must be able to obtain and maintain a Facility Agent Card (or equivalent) if required by the applicable state.

Physical Requirements

Ability to sit, stand, walk, use office equipment, lift up to 25 lbs., and travel between company locations as needed.

Work Environment

Professional office environment with periodic travel to retail, cultivation, manufacturing, distribution, and corporate locations. Occasional evenings and weekends may be required.
