Administrative Assistant - Wealth Management Support
In-Office | Full-Time
Salary Range: $25.00 - $30.28 per hour (Non-Exempt)
Position Overview
We are seeking a highly organized, personable, and detail-oriented Administrative Assistant to support a small, boutique wealth management firm. This position will play an important role in keeping the office running smoothly while providing administrative and client support to the advisors and broader team.
The ideal candidate is professional, proactive, dependable, and comfortable working in a close-knit environment where attention to detail, confidentiality, and excellent client service are essential. This is an excellent opportunity for someone with 2-5 years of administrative experience who enjoys supporting a professional team and building strong relationships with both colleagues and clients.
What You’ll Do
- Provide day-to-day administrative support to financial advisors and the broader wealth management team
- Manage calendars, scheduling, appointments, and meeting coordination
- Answer and direct incoming phone calls and greet clients and visitors in a warm, professional manner
- Coordinate client meetings, including preparing meeting rooms, materials, and refreshments as needed
- Prepare, organize, scan, copy, and maintain client and firm documents
- Assist with mail, incoming and outgoing correspondence, deliveries, and office communications
- Maintain accurate electronic and physical filing systems and ensure documents are organized and easily accessible
- Assist with client account paperwork, forms, signatures, and other administrative requests
- Support the team with data entry and updating client information in the firm's systems
- Assist with preparing reports, spreadsheets, presentations, and meeting materials
- Coordinate office supplies, equipment, and general office needs
- Assist with scheduling and coordinating meetings with clients, prospects, vendors, and other professional contacts
- Provide administrative support for client appreciation activities, events, and firm initiatives
- Handle confidential client and firm information with a high degree of discretion and professionalism
- Provide general administrative and organizational support to leadership and advisors as needed
- Help ensure the office maintains a polished, professional, welcoming environment
What You’ll Need to Succeed
- 2-5 years of administrative or office support experience
- Experience supporting professional services, financial services, wealth management, legal, accounting, or similar professional environment preferred
- Strong organizational skills and exceptional attention to detail
- Excellent written and verbal communication skills
- Professional, polished, and personable approach when interacting with clients and colleagues
- Ability to manage multiple priorities while maintaining accuracy and follow-through
- Strong customer service mindset and genuine interest in helping others
- Ability to anticipate needs, take initiative, and work independently
- High level of discretion and comfort handling confidential information
- Proficiency with Microsoft Office, including Word, Excel, and Outlook
- Experience with CRM or client management systems preferred
- Ability to learn new software, systems, and processes quickly
- High school diploma or equivalent required; college degree preferred

Compensation: $25.00 –$30.28 per hour, depending on experience and qualifications.
