Job Summary

Technology Lab is a managed IT services provider that currently supports charter and private schools across twelve states, with our largest presence across the Southeast. We provide a full range of technology services and are dedicated to creating exceptional user experience for students, teachers, and staff by removing technology barriers and aligning our services with the unique needs of the schools we serve.

The company is experiencing significant growth which is expected to accelerate in the coming year. The Staff Accountant will join a small, hands-on finance team, supporting core accounting and the month-end close along with billing, accounts receivable, collections, and accounts payable. We are focused on continuous improvements in our processes, so we are looking for someone who is flexible, comfortable with change, and eager to share ideas on how we can work better. The ideal candidate enjoys working with people, including school business offices, vendors, and our sales and operations teams.

Accounting Responsibilities

• Prepare journal entries and support the month-end close.

• Assist in managing accounts receivable: create and review invoices, apply payments, follow up on past-due balances, and resolve client billing questions professionally.

• Review and process accounts payable, including matching vendor bills to purchase orders and preparing payments.

• Reconcile bank, credit card and balance sheet accounts.

• Support grant-related billing and documentation.

• Assist with sales tax and year-end work, including 1099s and tax preparation support.

• Identify process improvements and help build out our procedures as we grow.

• Contribute to organizational success by accepting new assignments, helping team members, learning new skills, and striving to improve team results.

• This role may include other duties and special projects as needed, providing opportunities to support the organization's success and expand professional experience.

Requirements and Qualifications

• Experience with month-end close, including journal entries, accruals, prepaids, deferred revenue and balance sheet reconciliations.

• Strong working knowledge of GAAP, especially revenue recognition, accruals and deferrals.

• QuickBooks Online experience.

• Minimum of intermediate Excel skills, including lookups, pivot tables and reconciling large exports.

• Comfortable learning and using our tools, including HaloPSA, Microsoft 365 and Claude AI.

• Clear, friendly communication style, with the ability to hold a firm conversation about a past-due balance while maintaining a positive relationship.

• Organized and calm during high-volume periods. Our June–August back-to-school season brings our heaviest invoicing and billing.

• Flexibility and willingness to provide input on process improvements as our processes evolve.

Preferred Skills and Experience

• Experience at an IT services company, reseller or distributor.

• Experience with a PSA or ERP system working alongside QuickBooks.

• Experience with grant-funded billing, or with schools and other public-sector clients.

• Multi-state sales and use tax.

• Inventory or leased-equipment accounting.

Core Competencies

• Detail-oriented, with the ability to manage multiple competing priorities simultaneously while displaying poise under pressure.

• Highly motivated, energetic individual who is able to work collaboratively in a fast-paced environment.

• Oral Communication – Communicates clearly, confidently, and professionally with a wide range of audiences, effectively conveying information and fostering productive dialogue.

• Written Communication – Produces clear, concise, and effective written communications, accurately conveys information, and presents data in a meaningful and understandable manner.

• Organization – prioritizes and plans work activities, uses time efficiently and develops realistic plans.

• Adaptability – adapts to changes in the work environment, manages competing demands and can deal with change, delays or unexpected events.

• Interpersonal Skills/Team Player – remains open to others’ ideas and solicits feedback to improve performance.

• Confidentiality – handles sensitive financial, payroll and client information with complete discretion, and maintains an unwavering commitment to honesty, integrity and reliability.

• Polished with a high degree of professional character.

Minimum Qualifications

• Bachelor’s degree in accounting, or equivalent hands-on experience.

• 2+ years of accounting experience, including accounts receivable/collections and accounts payable.
