About the role
International Minerals Carlsbad LLC is seeking an experienced Payroll Administrator to support its Human Resources and Payroll team. This position is responsible for processing accurate and timely payroll for approximately 200 to 500 employees working within a 24-hour industrial environment across New Mexico.
The ideal candidate is an organized, customer-focused payroll professional who understands the importance of accuracy, compliance, confidentiality, and exceptional employee service. This position works closely with employees, managers, Human Resources, Finance, and operational leaders to resolve payroll concerns and maintain accurate payroll and timekeeping records.
Candidates with payroll experience in mining, oil and gas, construction, manufacturing, utilities, or another industrial sector are strongly encouraged to apply.
Essential Responsibilities
- Process accurate and timely biweekly and semimonthly payrolls for approximately 200 to 500 employees.
- Review payroll transactions involving new hires, terminations, promotions, transfers, bonuses, deductions, garnishments, and tax withholdings.
- Audit payroll reports and resolve discrepancies before payroll processing is completed.
- Maintain accurate payroll records in accordance with company policies and applicable wage and hour requirements.
- Complete payroll balancing, reconciliations, and year-end activities.
- Serve as the primary point of contact for payroll-related questions from employees and managers.
- Respond to payroll inquiries promptly, accurately, and professionally.
- Educate employees and managers regarding payroll policies, deductions, timekeeping, tax withholdings, and related procedures.
- Partner with Human Resources, Finance, and operational leaders to maintain accurate employee and payroll information.
- Maintain and audit employee timekeeping records using Kronos or UKG Workforce.
- Review timecards for accuracy, completeness, and required approvals.
- Investigate timekeeping discrepancies and coordinate corrections with employees and managers.
- Monitor overtime, attendance, shift differentials, premium pay, and leave balances.
- Support compliance with applicable federal, state, and local payroll requirements, including New Mexico wage and hour regulations.
- Prepare payroll reports, reconciliations, and supporting documentation for internal and external audits.
- Support annual payroll activities, including W-2 processing and payroll tax reporting.
- Maintain the confidentiality and security of payroll, tax, and employee information.
- Recommend improvements that strengthen payroll accuracy, efficiency, controls, and employee service.
- Assist with payroll and timekeeping system enhancements, testing, and implementation.
- Participate in special payroll and Human Resources projects as assigned.
Minimum Qualifications
- High school diploma or GED.
- At least five years of payroll experience supporting an organization with 200 or more employees.
- Experience processing both biweekly and semimonthly payroll cycles.
- Experience using Kronos or UKG Workforce for timekeeping administration.
- Strong knowledge of payroll practices, wage and hour requirements, deductions, garnishments, tax withholdings, and payroll reporting.
- Advanced proficiency in Microsoft Excel and Microsoft Office.
- Strong organizational, analytical, and problem-solving skills.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities and consistently meet payroll deadlines.
- Strong attention to detail and commitment to data accuracy.
- Ability to maintain strict confidentiality and exercise sound professional judgment.
- Ability to work independently while collaborating effectively across departments.
Preferred Qualifications
- Certified Payroll Professional designation.
- Experience using Engage PEO or a similar professional employer organization payroll platform.
- Experience processing payroll for employees in New Mexico.
- Payroll experience within mining, oil and gas, industrial construction, manufacturing, utilities, or another heavy industrial environment.
- Bilingual proficiency in English and Spanish.
Work Environment
This is an on-site position supporting employees within an active mining and industrial operation. The Payroll Administrator must be comfortable working in a fast-paced environment, managing time-sensitive payroll deadlines, and responding professionally to employees and managers across multiple shifts.
