Treasury Analyst
About the role
The Treasury Analyst owns the day-to-day banking infrastructure of a multi-entity real estate portfolio: every account, every login, every statement, every escrow, and every outbound payment. As properties are acquired and sold, this role opens, organizes, and winds down the bank accounts behind them and keeps the internal record of what we hold accurate at all times.
This is a hands-on, process-driven role reporting to the Treasury Manager and working daily with the CFO, the accounting team, property managers, and our banking partners. It suits someone who takes pride in clean records and tight controls, and who can keep a dozen open items moving without letting any of them drop.
Who you are
- Detail-oriented. You notice the account that was named differently from the other twelve, the statement that never arrived, and the wire instruction that changed by one digit.
- Highly organized. You keep a living registry, not a pile of emails. If someone asks which entity owns an account and who has access, you can answer in minutes.
- Able to juggle. On a typical day you might be opening two accounts for a closing next week, chasing a lender for an escrow analysis, initiating three ACH payments, and offboarding a departed employee's bank access, all at once and all on time.
- Controls-minded. You are comfortable being the first signature in a dual-approval process and never shortcut it, even under deadline pressure.
- Clear communicator. You write short, specific updates for the CFO and build productive working relationships with bankers and lenders.
- Discreet. You handle credentials, account numbers, and payment details with care and follow security protocols without being reminded.

BANKING ACCESS AND USER CONTROLS
- Administer all online banking platforms across the organization; provision, modify, and remove user access so every team member has the correct entitlements for the accounts they work with.
- Maintain an access matrix of who can view, initiate, and approve on each account, and reconcile it against the bank portals on a recurring schedule.
- Ensure the Data Administrator holds a working statement-level (view-only) login on every bank, mortgage, and lender account so statement gathering is never blocked by a missing access.
- Lead the bank-access steps of employee onboarding and offboarding, including same-day removal of departed users.
- Manage tokens, multi-factor devices, and administrator roles; coordinate with the bank when users are locked out or need credential resets.
REGISTRIES AND MONDAY.COM BOARDS
- Own the accuracy and completeness of the treasury registries, which live as Monday.com boards: the Bank Accounts board (open and active accounts), the Mortgage and Loans board with its mortgage abstracts, the Banking and Contacts board (bankers, lenders, servicers), and the access matrices.
- Keep the registries CRM-grade: every banker and lender record carries full, current contact information (name, title, institution, direct phone, email, assistant, role on our accounts or loans) so the CFO can pick up any record at any moment and act on it.
- Work with the Treasury VA, who maintains the boards day to day; set the data standards, review the boards on a recurring schedule, and close any gaps or stale entries.
- Apply and enforce a consistent naming convention across the bank portals, the accounting system, and the boards so accounts and loans can be identified at a glance.
- Keep each mortgage abstract current with the loan's key terms, escrow requirements, payment dates, and servicer contacts.
- Keep signature cards, resolutions, and account documentation current and filed for every account.
BANKING RELATIONSHIPS
- Serve as the day-to-day contact for our relationship bankers, treasury-services teams, and lender and servicer contacts.
- Resolve service issues, coordinate documentation requests, and schedule periodic relationship reviews.
- Record every contact change and significant interaction in the Banking and Contacts board so the relationship history is never only in one person's inbox.
- Track fees and service charges across institutions and flag opportunities to consolidate or renegotiate.
STATEMENTS AND MONTH-END CLOSE SUPPORT
- Own the outcome that every bank, mortgage, and lender statement is received on time each month for the close. The Data Administrator performs the day-to-day gathering; this role supervises that work.
- Keep the Data Administrator's statement-level access current on every account and resolve any access gap the same day it is found.
- Maintain the statement checklist by account, review it against what has been collected, and escalate missing or delayed items before the close deadline.
- Set the archiving standard: a consistent folder structure for audit and tax support.
CASH AND ESCROW MANAGEMENT
- Ensure company escrow policies are followed for tenant deposits, security deposits, and other restricted funds.
- Track lender-held escrows (taxes, insurance, reserves, replacement reserves) by loan against the mortgage abstracts on the Mortgage and Loans board; verify lender escrow analyses, confirm disbursements, and request releases or reimbursements when due.
- Prepare a recurring cash position report by entity and account, and flag low balances, idle cash, and upcoming large outflows.
- Support debt service tracking: confirm payment dates, amounts, and auto-debit setup for each mortgage.
SECURE PAYMENTS
- Initiate ACH and wire payments in the bank portals under dual-control, with approval from the CFO or Treasury Manager; maintain complete supporting documentation for each payment.
- Verify new or changed payment instructions by callback to a known contact before any first payment or change.
- Maintain payee templates and standing instructions in the banking platforms and keep them current.
- Monitor for fraud alerts and positive-pay exceptions and respond within the bank's decision window.
ACCOUNT OPENINGS FOR ACQUISITIONS
- Open new operating, reserve, escrow, and lender-required accounts as directed by the CFO or Treasury Manager for each acquisition, in time for closing.
- Assemble KYC and entity documentation, coordinate signer setup, establish online access, and record the new accounts in the registry and accounting system.
- Coordinate funding of initial balances and set up any lender lockbox or cash-management requirements under the loan documents.
ACCOUNT CLOSURES FOR DISPOSITIONS
- Manage the wind-down of accounts as properties are sold: track the closeout sequence from final transactions and outstanding checks through zero balance, formal closure, and final statement.
- Confirm timing against sale closing, final reconciliations, and any lender or tax holdback requirements before closing an account.
- Update the registry, remove user access, and retain closure confirmations and final statements for the file.
PROCESS AND DOCUMENTATION (added)
- Document treasury procedures (access requests, payment initiation, account opening and closing checklists) and keep them current.
- Support annual audit, tax, and lender reporting requests related to bank accounts and escrows.
- Recommend improvements to treasury workflows and tools as the portfolio grows.
Qualifications
REQUIRED
- 2–4 years in treasury, cash management, banking operations, or accounting, ideally supporting multiple legal entities.
- Hands-on experience working in commercial online banking portals, including user administration and ACH/wire initiation under dual control.
- A history of building and maintaining working relationships with bankers and treasury-services teams.
- Experience with Microsoft 365 (Excel, Outlook, Teams, SharePoint), including strong Excel skills (lookups, pivot tables, maintaining structured registers).
- Familiarity with project management tools such as Monday.com, and the habit of tracking open items in them.
- Demonstrated ability to run recurring checklists and calendars (month-end, statement collection, access reviews) without being prompted.
- Clear written communication and a professional, responsive manner with external banking contacts.
- Bachelor's degree in accounting, finance, business, or equivalent practical experience.
PREFERRED
- Experience in commercial real estate, property management, or another portfolio business with frequent entity and account turnover.
- Familiarity with lender escrow structures, loan servicing portals, and mortgage statement formats.
- Exposure to opening and closing business bank accounts, including KYC and entity documentation.
- Experience with an accounting or property-management system such as QuickBooks, Yardi, AppFolio, or similar, and with a treasury or cash-forecasting tool.
- Understanding of payment-fraud controls (callback verification, positive pay, dual approval).
